Search Panel Fields

Search Header:

Note that when you exit the screen, the choices remaining for the Search Header will be the same when you next use the screen. Be aware of this if you have chosen to narrow the search so that it contains fewer than possible entries.

Search For:

The actual name, description or number that you key in. Key-matching search uses whatever letters or numbers you enter, starting from the first, to find the set of data with the closest match.

Field to Search:

Click the down-arrow to change the data field used as the starting point of your search, such as numerical ID, descriptive name, type or category, or Display Name.

Search Type:

Click the down-arrow to specify where the key-match in Search For applies within the Field to Search.

Only Active:

Most Details Maintenance screens for entries such as Customers, Warehouses, Parts Markups, etc., contain an Is Active flag to indicate currently used by your Company. If you later remove the check-mark making the item Inactive, it will still remain in history where it has already been used, but will not be available for use in the future.

The default for Lookup screens is to show Only Active records. You can remove the check-mark from the select-box on that screen and view all.

You will find other similar controls, such as Show Void in the Search Panel on the Invoice Lookup screen.

Max Records:

The maximum number of records that you will allow this DataView to display. You can set this low (like 50) or high (like 99999).

Note that if you set the maximum low for convenience or speed and it is smaller than the number of found results, the display will omit part of the possible set. Using the Paging Icons will not add to the selected set of records, only traverse through the Max number.

The Large Lookup screen has buttons at the bottom right which will "page" to the next set of Max records.

In the Large Lookup example below, where Max Recs. = 20, the first 20 were retrieved. The Next button brought in the next Max set of 20 records.

To be certain that you retrieve the complete set of search results, it is safer to use a high maximum number. Pay attention to the Transactions Footer below the DataView which indicates the number of records displayed compared to the possible results for this particular set of search choices.

For example, study the Transactions Footer:

Here the Max Recs. was 50, and 76 records exist matching the selection. However, only the first 50 of these will be displayed, and you cannot page to the last 26 (unless this is a Large Lookup and you use the Next button). They will never be seen.

The second example indicates that the DataView has captured all available results. Therefore the Paging Icons will travel through all existing records.

 

Status (or various named fields):

 

Use the drop-down arrow to select one or more choices to include in the search.

Search By:

For more complex searches, additional Search By choices may appear to control and simplify the navigation.
